WestGate Properties offers self-managed community and condo associations the ability to leverage professional expertise, tools, software, and resources in order to manage their communities more effectively and efficiently.

These tools allow board members to focus their attention on serving and strengthening their communities instead of getting buried in accounting, paperwork, mailings, dues collection, or other processes. Additionally, WestGate Properties: Self-Managed Pro gives board members the professional support and services necessary to ensure they are making the best decisions possible on behalf of their community.

ADMINISTRATIVE:

Management over aspects of governance and administration in cooperation with the community’s Board of Directors.

  • Management of community association correspondence, including phone and email inquiries from community members.
  • Coordination with the community association attorney, or assistance and recommendations for procuring legal support if needed.
  • Full service community website including a community calendar and reservations calendar for reserving community amenities, online access to an owner’s ledger, online storage and access governing documents, minutes, financial reports, and work orders.

GOVERNANCE:

Management for all aspects of a community’s governance, including:

  • Assistance in the development of community rules & regulations and board resolutions.
  • Annual meeting preparation, including all mailings and attendance by WestGate staff to ensure a smooth and productive meeting.
  • Board meeting management, including remote attendance via Skype or phone to provide expert consultation on community issues.
  • Guidance & training for board members in order to assist them in the performance of their duties and obligations according to the community association’s governing documents.

FINANCIAL & ACCOUNTING

Management for all aspects of a community’s finances and accounting, including:

  • Recommendations for an annual operating and reserve budget, including evaluation of long-term maintenance reserves and financial needs.
  • Bookkeeping and maintenance of financial records on either a cash or modified accrual basis.
  • No-Charge Attorney Collections services and mailing of notices of delinquency, including other reasonable measures to collect unpaid dues.
  • Online, community-branded portal to collect and pay dues online, in cooperation with CommunityPlus, which offers low-cost, specialized banking services to community associations.
  • Generation and delivery of regular community financial statements to the Board.
  • Coordination with the community’s accountant for end of year tax returns.
  • Accounts Receivable and Accounts Payable, including the option to allow the community treasurer to review and approve invoices and financial reports online.
